Power is the #1 thing to check
Soft serve machines pull a lot of power. Many countertop units need a dedicated 15A outlet, and larger machines need three-phase. Check the venue's power before you book — a shared powerpoint usually isn't enough.
Space, ventilation and a solid surface
Air-cooled machines need airflow around them, so don't box them in. Put the machine on a sturdy, level surface near power.
Enough mix (and a way to keep it cold)
Estimate serves for your crowd and order mix accordingly, plus a buffer. Keep mix cold until it goes into the hopper.
Freeze-down time
A machine needs time to pull the mix down to serving temperature, so switch it on well before guests arrive — not as they walk in.
Cleaning and return
Agree on cleaning expectations up front so there are no surprises at return.
